Decision

Voice cards for every client MUST be created automatically when the kickoff call happens - not after the onboarding form is completed, not on request, but as a default output of the kickoff event itself.

If the onboarding form has not yet been completed (e.g. Haz/Pally), the voice card is still built from available research: Granola kickoff transcript, Hermes research on the client and their sector, any prior calls. When the onboarding form and weekly interview data come in later, fold those learnings in.

Voice cards are required before the first script batch in any Studio context. This is non-negotiable.

Context

Surfaced during review of JOLT client Josh (Decade Labs) - his voice card was missing at script generation time, causing scripts that did not sound like him (see JOLT! Josh: Disclose voice-card bug as a software issue). On the same day, Michael also found that Haz (Pally) - who completed kickoff but not the onboarding form - had no voice card yet. Pally has both a Megaphone and JOLT engagement; Michael expects both studios to be ready for Tatem and the team without a separate setup step.

Michael’s words: “Voice cards are absolutely essential, I can’t stress that enough.”

Scope

  • Applies to Megaphone Studio and JOLT! Studio
  • Every new client, no exceptions, from kickoff forward
  • Watchdog behavior (auto-flagging missing voice cards) should be added to the onboarding flow

Consequences

  • Haz (Pally): voice card to be created from Granola transcripts and research immediately
  • Pally client should appear in both Megaphone Studio and JOLT! Studio by default
  • Going forward: no first script batch ships without a confirmed voice card
  • Hermes to monitor and flag any client in Studio without a voice card
